Where will you be working?

In this role, you are part of the “Facilities & Office team,” which consists of approximately eight colleagues. Nearfield Instruments is growing rapidly, and therefore we are once again offering an exciting opportunity for a motivated colleague to join this team

              

What will you be doing?

We are looking for an Travel Operations Officer to support our colleagues with all their business travel needs. In this role, you will assist employees with booking their trips in our travel booking tool, resolving travel-related issues, and ensuring a smooth and efficient travel experience from start to finish. You will also act as the main point of contact between our organization and our external travel management provider, ensuring accurate communication, efficient issue resolution, and continuous process improvement.

Key responsibilities:

  • Support employees with their travel bookings in the booking tool

  • Troubleshoot any travel-related issues colleagues may encounter before or during their trips

  • Coordinate and align with our external travel booking partner on system issues, escalations, and improvements

  • Monitor travel requests and ensure compliance with internal travel policies

  • Maintain accurate travel information and documentation

  • Identify recurring challenges and suggest improvements to optimize our travel process

  • Provide clear communication and guidance to travellers

  • Assist with reporting and administrative tasks related to travel management

Job requirements

What are we looking for?

A scale up can provide phenomenal learning and development opportunities but can also be a hectic environment at times. You must fit in such a climate and don’t mind to constantly implementing changes and process improvements, and to go the extra mile on a regular basis and feel comfortable with some uncertainty.

Furthermore, you need to recognize yourself in the profile as described below.

  • Proven experience (at least 2 years) in travel coordination, travel operations, or a closely related role;

  • Hands-on experience using travel booking systems;

  • Strong problem‑solving and troubleshooting skills;

  • Ability to manage multiple requests simultaneously;

  • A customer-focused mindset and clear communication skills;

  • Full professional proficiency in English

  • Efficiently manages priorities while thriving in fast-moving, competitive contexts.

  • 32-40 hours per week available and willingness to work 4/5 days in the office in Rotterdam.

  • Authorized to work in the Netherlands with a valid permit (no sponsorship available).
