General Data Protection Regulation Nearfield Instruments (NFI) collects and processes personal data relating to employees. We are committed to being transparent about how we collect and use that data and to meeting the data protection obligations.
What information do we collect?
NFI collects a range of information about you. This includes for example: your name, address and contact details, including email address and telephone number; details of your qualifications, skills, experience and employment history; information about your current level of remuneration, including benefit entitlements.
NFI may collect this information in a variety of ways. For example, data might be contained in application forms, CVs or resumes, obtained from your passport or other identity documents, or collected through interviews or other forms of assessment.
We may also collect personal data about you from third parties, such as references supplied by former employers. We will seek information from third parties only with your permission and will inform you. Data will be stored in systems that are compliant with the GDPR registry.
Why does NFI process personal data?
We need to have and retain your personal data for example in order to process our payroll. In other cases, we need to process data to ensure that we are complying with our legal obligations.
Who has access to this data?
Your personal data is only available to HR but may be shared internally for several purposes. This includes sharing information with members of the departments Finance and IT.
We also need to share your data with third parties such as our payroll provider.
How does NFI protect data?
We take the security of your personal data seriously. We have internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by relevant colleagues in the proper performance of their duties.
For how long does NFI keep data?
Your personal data will be kept in your personnel folder (electronic and paper based) and retained during your employment. If you leave NFI, your data will be destroyed after the legal period.
Who wants to receive data about you?
Within NFI we would like to celebrate and support you during life events, as for example your birthday, special celebrations, longer term sickness leave or death in the family.
Your birthday can for example be registered on the NFI birthday list and your leave days in the leave overview. In other cases, we would like to be able to share personal data like your home address with your team lead, facilities or a relevant colleague as that will allow us to send a card or something alike to your home address.
If you do not agree with sharing of your relevant personal detail with anybody else than the HR department, please let us know via e-mail within 2 weeks after receiving this document.
GDPR = General Data Protection Regulation, European Regulation which deals with how personal data is collected, dealt with, stored, deleted. Part of the GDPR is the obligation for organizations to register the how, what, why, till when of the personal data they have, the registry.
