1. Who we are

Nearfield Instruments B.V. ("NFI", "we", "us", or "our") processes personal data of job applicants as part of its recruitment and selection activities. Contact details:

2. Scope of this privacy notice

This Privacy Notice applies to all individuals considered for a position with Nearfield Instruments, including job applicants, interns or trainees, candidates introduced via recruitment agencies, individuals submitting open applications, and individuals we proactively approach (e.g. via professional networking platforms such as LinkedIn). Where we approach candidates directly, we will request their consent before processing their personal data in our recruitment systems. This notice does not apply to employees after hiring; employee data processing is covered by a separate Employee Privacy Notice.

3. What personal data we process

We may process the following categories of personal data during recruitment: identification and contact details; CVs, cover letters and LinkedIn profiles; education and employment history; interview notes and assessments; reference information (if provided); work eligibility information; and identification data necessary for compliance and sanction screening where legally required. For successful candidates, we may also process additional personal data required for onboarding and employment administration (e.g. marital status for HR and pension administration purposes).

4. Purposes of processing

We process applicant personal data for the following purpose: • suitability for vacancies; • managing and conducting recruitment processes; • communicating with candidates; • verifying information such as references and qualifications; • improving recruitment processes; • complying with legal and regulatory obligations; • and, where applicable, conduct compliance checks including sanction and export-control screening for specific roles.

5. Legal basis for processing

Personal data is processed on the following legal bases under Article 6 GDPR: • steps prior to entering an employment contract; • legitimate interest in recruiting suitable personnel; • compliance with legal obligations, including EU sanctions and export-control regulations where applicable; and consent, where required (such as retention for future vacancies). Consent may be withdrawn at any time.

6. Who we share your data with

Personal data may be shared with HR staff and hiring teams within NFI, recruitment agencies acting on our behalf, IT service providers supporting recruitment systems, and authorities where legally required. For certain roles and only where legally required, applicant data may also be processed for sanction and compliance screening using official or specialized screening tools, such as the EU Sanctions Map and Consolidated Sanctions List (CSL) search tools. These checks are limited to what is necessary and do not result in automated decision-making without human review.

7. Retention period

Unsuccessful applicants: personal data is deleted four weeks after completion of the recruitment process. Retention for future vacancies: up to one year with explicit consent. Successful applicants: relevant data becomes part of the employee personnel file and is covered by the Employee Privacy Notice.

8. International data transfers

Applicant data is not intentionally transferred outside the European Economic Area. If international transfers are required, appropriate safeguards will be implemented in accordance with GDPR Chapter V.

9. Your rights

Applicants have the right to access, rectify, erase, restrict, or object to processing of their personal data; the right to data portability where applicable; the right to withdraw consent at any time; and the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). Requests can be submitted to dpo@nearfieldinstruments.com and will be answered within 30 days.

10. Security of personal data

NFI applies appropriate technical and organizational measures to protect applicant personal data against unauthorized access, loss, or misuse in line with internal data protection policies.

11. Changes to this notice

We may update this recruitment privacy notice from time to time. The most recent version will be made available via our recruitment team.
